Every HappenBoard event is in-person, virtual (online only) or hybrid (on site and online at the same time). This one setting changes what the editor asks for and what the event page shows.
Choose the format
- Open the event in the block editor.
- In the Format panel of the sidebar, pick an Event format: In-person, Virtual or Hybrid.
A new event starts as In-person. The other panels follow your choice:
- In-person: the Venue panel stays, and there are no online fields.
- Virtual: the Venue panel disappears, and two online fields appear.
- Hybrid: you get both, with a reminder to fill in the venue and the online details.
The quick form on the Events and Calendar screens has the same setting: Format in its Details section, and Provider and Meeting URL in its Online section. That form shows all these fields whatever the format.
Add the online meeting
For a virtual or hybrid event, fill in two fields:
- Meeting URL: the link people use to join, such as a Zoom or Google Meet link.
- Provider: Zoom, Google Meet, Microsoft Teams, Jitsi Meet, Whereby or Other. Its name appears next to the link on the event page.
In the block editor, you rarely need to pick the provider. When you paste a Zoom, Google Meet, Microsoft Teams, Jitsi or Whereby link and Provider is still on None, HappenBoard fills it in. A provider you chose yourself is never replaced.
The meeting link is public. Anyone who can see the event page can read it, and search engines receive it too. Use a meeting with a waiting room or a password if you need to control who joins.
What visitors see
The Event Venue block on the event page adapts to the format:

| Virtual | One line: Online via followed by the provider and the link. No venue details. |
| Hybrid | The venue details, then Also online via followed by the provider and the link. |
With Other or no provider, the line says Online meeting in place of the provider name. If Meeting URL is empty, no online line appears, so a virtual event without a link shows no place at all.
The address comes from the venue. The map uses your map settings.
Emails and calendar files
The meeting link is not included in HappenBoard’s emails or in the calendar files visitors download. Those point to the event page, where attendees find the link in the Event Venue block. Keep that block on your event page for online events.
The format does not change sign-ups. A virtual event can have a sign-up form and a seat limit like any other.
On the admin Calendar
In the month and agenda views of HappenBoard → Calendar, virtual and hybrid events carry a small icon. Hover it to read Virtual event or Hybrid event, followed by the provider when set. In-person events have no icon.
Search engines
HappenBoard tells search engines how people attend, in the event’s structured data (the information Google reads to show events in its results):
- In-person: the venue address, as an event held on site.
- Virtual: the meeting link, as an online event.
- Hybrid: both, as a mixed event. A hybrid event with no venue is described as online only.
