Organizers

An organizer is the person or group behind an event: a name, a way to be contacted, and a logo. Like venues, organizers are records you create once and reuse.

Create an organizer

  1. Go to HappenBoard → Organizers.
  2. Click Add organizer.
  3. Fill in Name. It is required, and nothing saves without it.
  4. Optionally add a Logo and a Bio, described in the form as a short description shown alongside the organizer.
  5. Under Contact, fill in any of Email, Phone and Website.
  6. Click Create.

New organizers are published immediately, which is what makes them selectable on an event. Click a name in the list to reopen the same form and edit it.

The list itself shows Email, Phone and Website as columns, with the email rendered as a mail link and the website as a link, so you can check a contact detail without opening anything.

Attaching an organizer to an event

Open the event and find the Organizer panel in the sidebar. Type to filter the list, then pick one. An edit link appears next to your choice, and Manage organizers opens the full list in a new tab.

With no organizer linked, the panel offers Organizer name and Contact email as free text instead. That is enough for a one-off, but it creates nothing reusable: no logo, no phone, no website, and no link to a shared record. If the same name is going to come up again, create the record. The event walkthrough shows where the panel sits among the others.

Where the organizer appears

On the public event page, the Event Organizer block prints the name and, when the block’s Show email link option is on, the email address as a mail link. A second option, Show “Organizer” label, adds a label in front. The name links through to the organizer’s own page on your site.

The block only shows the name and the email. The logo, the bio, the phone and the website are stored on the record and are not printed by that block. Building a single event page covers where to place it.

The organizer as a reply address

The organizer’s email does more than sit on the page. When HappenBoard sends an automatic email to an attendee and you have not set a reply-to address in the settings, the linked organizer’s email is used as the reply address, so replies reach the person actually running the event.

The free-text contact email is used the same way when no organizer record is linked. Either way the address has to be a valid email address to be used at all. Set a site-wide reply-to address in the settings and that wins instead, for every event. Automatic emails explains the rest of the sending rules.

Filtering by organizer

On the admin Calendar screen you can add an Organizer filter to show only that organizer’s events. In the day view, Group by also offers By organizer, which splits the day into a column per organizer. It is a quick way to see who is running what on a busy day.

Organizers in search results

The event’s structured data names the organizer as the organisation behind the event, using the name, the website if you set one (otherwise the organizer’s page on your site), and the email when it is valid. The same details also stand in as the event’s performer when none is set, so filling this record in is worth a couple of minutes.
