Printing name badges

Available in:Pro

HappenBoard Pro prints name badges from your attendee list as a PDF sheet. Each confirmed attendee gets one badge per seat, with a QR code that scans at the door.

Name badges need HappenBoard Pro. See what Pro adds.

  1. Go to HappenBoard → Attendees.
  2. Show the attendees of your event, for example from the Attendees link of the event in the admin Calendar. See managing attendees for the filters.
  3. Tick the rows you want badges for.
  4. In the actions for the selection, choose Print badges (PDF).

The PDF downloads straight away, under a name starting with happenboard-badges and the date and time. A message confirms how many badges were made, for example “Generated 24 badges.”

Only attendees whose status is Going get a badge. Waitlisted, cancelled and declined rows in your selection are skipped, as the door would refuse them.

The Export button at the top of the screen also offers Badges (PDF, print). It prints a badge for every confirmed attendee of the event and date you filtered on, or of all your events when no event is chosen. The tab does not matter: badges are only for confirmed attendees.

What a badge shows

The sheet is A4 portrait, with two badges per row and twelve per page. Every badge is the same size, and none is split across two pages.

  • A coloured band along the top, in your accent colour.
  • Your logo, or your site name.
  • A QR code in the top right corner, beside the text.
  • The event title, in the accent colour.
  • The attendee’s name in large bold type. A long name is set smaller and cut after two lines.
  • Admit one, or Seat 2 of 4 for a booking of several seats.
  • The venue of the event, when it has one.

A booking of four seats gives four badges, one per seat. Your ticket footer text is printed once at the end of the sheet. The logo, colour and font come from the Ticket design settings.

A row with no name is skipped, so no badge prints blank.

Large selections come as several files

One PDF holds up to 150 badges. A bigger selection is split into several files, downloaded one after the other and numbered, for example happenboard-badges-…-1-of-3.pdf. The message then reads, for example, “Generated 400 badges across 3 PDF files.” Badges come newest sign-up first.

A developer can change the number of badges per file with the happenboard_badges_per_sheet filter, from 1 to 1000.

Scan the badges at the door

Each badge carries the code of its seat, the same one as on the e-ticket. The check-in scanner accepts it with no extra setup.

You can hand out badges and scan them as people collect them. There is no need to scan their e-ticket as well: it is the same code, so a second scan shows as a re-scan.

Who can print badges

Badges count as an export of attendee data, so they need the export permission. Only administrators have it by default. Users without it, such as editors, do not see the badge options.

A badge sheet holds names and working check-in codes, so keep the printed sheets and the PDF files safe.

If nothing is produced

  • “No confirmed attendees match the current selection.”: nobody in your selection has the status Going.
  • “The PDF engine is not available on this site.”: Pro’s PDF library is missing, which happens on a copy installed without its build files.
  • “Could not render the badge sheet.”: no badge could be drawn. Check that the selected rows have names.

If your logo is missing from the sheet, check Logo URL in Ticket design. A warning shows there when a PDF had to leave the logo out.
