Availability is the weekly grid that says when a person is open for appointments. Nothing is bookable until at least one host has hours, so this is the screen that turns a booking type into real times on a page.
Open the screen
Go to HappenBoard → Bookings → Availability. The Host dropdown at the top lists every user on your site who can edit posts, so the list follows your user roles. Pick one, and the grid below fills with that person’s current hours.
If the dropdown shows No hosts found, no account on the site has the right to edit posts. Give the person an author, editor or administrator role first.
Set the weekly hours
- Switch on the days the host works. Turning a day on for the first time creates one window running from 09:00 to 17:00.
- Adjust the start time and the end time on that window.
- Need a lunch break or a split shift? Click Add hours on that day and set a second window, for example 09:00 to 12:00 and 14:00 to 18:00.
- Remove a window you no longer want with the small cross beside it.
- Click Save availability.
A day switched off reads Unavailable. A day switched on with every window removed reads No hours yet and behaves the same way: nothing is offered.
An end time that is not later than its start time is dropped when you save, without warning. If a window vanishes after saving, check that you did not enter 17:00 to 09:00.
Saving replaces, it does not merge
Saving sends the whole grid for that host and replaces what was stored. That is what you want when you are editing hours, but it also means you should finish the whole week before clicking Save availability rather than saving after each day.
Timezone and week order
The times you enter are in your site’s timezone, the one set under Settings → General in WordPress. Visitors never see those raw numbers: the booking page converts each slot into the visitor’s own timezone. The days are listed starting from your site’s Week Starts On setting, so a site set to Monday shows Monday first.
Because the conversion is done per day, a host who works 09:00 to 17:00 keeps working 09:00 to 17:00 through a daylight saving change. You do not need to touch the grid twice a year.
One schedule per person, not per service
Weekly hours belong to the host, not to a booking type. The screen says so under the grid: the hours apply to that person across all their booking types. If the same host takes 30 minute calls and 2 hour workshops, both draw on the same open hours, and a booking on either one blocks that time for the other.
From hours to bookable times
The hours you set here are the outer limit. What a visitor is actually offered is what survives the booking type’s own settings:
- Start times are placed at the booking type’s slot step, and a slot is only offered if the whole duration fits inside the window.
- Anything sooner than the minimum notice, or further out than the maximum advance, is dropped.
- Times that clash with an existing booking, including its buffers, are dropped.
- For a group booking type, a time stays on offer until its seats run out.
Nothing is showing up
When the booking page says No times available., work down this list:
- The booking type has no host attached.
- The chosen host has no weekly hours, or the day is switched off.
- The window is shorter than the appointment duration. A 09:00 to 09:20 window can never hold a 30 minute appointment.
- Minimum notice has swallowed the next opening.
- Every slot in the window is already booked.
- The booking type is a draft rather than published.
