PDF e-tickets and ticket design

Available in:Pro

With HappenBoard Pro, every confirmation email carries a PDF e-ticket with one QR code per seat. Your attendees can print it or show it on their phone at the door.

The Ticket design settings give the PDF your logo, colour, footer and font. The same design is used by the Show my QR page and the name badges.

PDF e-tickets need HappenBoard Pro. See what Pro adds.

Who receives a PDF ticket

The PDF is attached to the confirmation email the free plugin sends after a sign-up. It works for free sign-ups, free tickets and paid ticket orders alike.

  • Only a booking with the status Going gets a ticket. Waitlisted, cancelled and declined attendees get none.
  • One PDF covers one booking, with a block per seat. An order with several ticket types makes one booking per type, each with its own email and PDF.
  • When you move an attendee to another date and tick Email the attendee the new date, with a calendar file, that email carries a new PDF for the new date.

No email means no PDF. If Send confirmation email on RSVP / ticket purchase is off under HappenBoard → Settings → Email, no ticket goes out.

What the ticket shows

The PDF is an A4 page. At the top are your logo (or your site name) and, on the right, “Issued by” your site name with the date the ticket was made.

Each seat gets its own block, never split across two pages:

  • The QR code scanned at the door.
  • Admit one for a single seat, or Seat 1 of 3, Seat 2 of 3 and so on.
  • The event title.
  • Holder: and the attendee’s name.
  • When: and the date and time, in your site’s timezone, with the timezone named. For example “October 15, 2026 · 6:30 pm (Paris time, UTC+2)”. On a recurring event, it is the date the attendee booked.
  • Where: and the venue name, when the event has one.
  • The check-in link in small print, for when the code will not scan.

Your footer text, if you set one, is printed once at the end.

The confirmation email also shows the QR codes, under a Show my ticket button (Show my tickets for several seats). Gmail and Outlook often hide those images, so the button opens the Show my QR page in the browser. The check-in link under each code opens that ticket too.

Set your ticket design

  1. Go to HappenBoard → Settings → Ticket design.
  2. Fill in the fields below. Leave a field empty to keep the default.
  3. Click Save ticket design.

Only administrators can change these settings by default, as they need the permission to manage integrations.

SettingWhat it doesDefault
Logo URLThe address of your logo image, printed at the top of tickets and badges. PNG, JPG, GIF or WebP, up to 2 MB. Around 200 × 40 pixels prints best.Empty: your site name is printed instead
Accent colourColours your site name when there is no logo, the buttons and seat numbers of the Show my QR page, and the top band and event title of each badge.#2271b1 (WordPress blue)
Footer textA short text at the end of the PDF, such as a refund policy, a venue phone number or an accessibility note. Links, bold and italic are allowed.Empty
PDF fontThe typeface of the PDF tickets and badges: DejaVu Sans (default), DejaVu Serif, DejaVu Sans Mono or A font from the Media Library.DejaVu Sans

Upload your logo to the Media Library and copy its file URL into Logo URL. HappenBoard reads it from your uploads folder. An image hosted on another public website also works if its address does not redirect. SVG files are not used in PDFs.

A transparent PNG prints on a white background. If a PDF ever has to go out without your logo, a warning appears under Logo URL and suggests using a JPEG. In every case the ticket is still sent, with your site name in place of the logo.

Fonts for other alphabets

The DejaVu fonts cover Latin, Greek, Cyrillic, Hebrew and Arabic letters, but not Chinese, Japanese or Korean. For those, choose A font from the Media Library, then Choose from the Media Library, and pick a TrueType (.ttf) font that covers them, such as Noto Sans SC, JP or KR.

Most .otf files, font collections (.ttc) and web fonts (WOFF) cannot be embedded, and saving refuses them. Characters the chosen font lacks print in DejaVu Sans. Arabic letters print unjoined, and Arabic and Hebrew read left to right.

No copy is kept on your server

Each PDF is made for its email and deleted as soon as the email is sent. To give an attendee their ticket again, send them their Show my QR page from the attendee panel.

If no PDF is attached

  • The attendee is not Going: no ticket is made for waitlisted, cancelled or declined bookings.
  • The confirmation email is switched off: see automatic emails.
  • The PDF engine or the QR code library is missing. This happens on a copy of Pro installed without its build files.
  • The PDF could not be built: the reason is written to your site’s PHP error log.

In each case, the confirmation email itself still goes out.
