One calendar for the whole school year

A free WordPress calendar plugin for schools and training centres. Publish term dates and open days by category, take sign-ups with a seat limit, and let parents book a meeting with each teacher.

A school calendar families can follow without calling the office

What changes when dates, sign-ups and parent meetings live on your own WordPress site.

Before HappenBoard

Dates spread across PDFs and letters

Term dates, trips and exams sit in a PDF, a newsletter and the website. Each copy is updated by hand, and one is always out of date.

Open days with no head count

Families say they will come by phone or email. Nobody knows how many chairs to put out or how many guides to plan.

Parent meetings on a paper sheet

A sign-up sheet goes round, slots overlap, and the office spends the week telling parents which time they got.

Dates copied into phones by hand

Parents check the website for each date, then type it into their own calendar, and miss the ones that change.

With HappenBoard

One calendar, one category per audience

Publish each date once and give it a category: term dates, exams, trips, open days. Category pages and lists show each audience its own dates.

Sign-ups with a seat limit

The sign-up form on each open day takes a name and an email, shows the seats left, then “Sold out”. Families get a reminder 24 hours before.

Meeting slots parents book themselves

Each teacher has their own meeting hours. Parents pick a free time on the booking page, and a teacher is never booked twice at once.

Dates in the family calendar

Each event has Google and Outlook links and an .ics file, and a public iCal feed lists the next 12 months of events.

Why HappenBoard suits a school

1

The calendar and the bookings come in every plan

Events, repeating dates, sign-ups with a seat limit, reminders and appointment booking with several hosts are all in HappenBoard Free. Pro adds paid tickets, extra registration questions and Google or Outlook sync.

2

Made for staff who are not webmasters

Editors manage events and attendees without admin rights. A teacher who only hosts meetings gets the host permission and sees only their own schedule and bookings.

3

Family data stays with the school

Sign-ups and bookings are stored in your WordPress database. Forms block spam without a captcha by default, and the WordPress export and erase tools cover them for GDPR requests. Multisite networks are supported.

Already on another events plugin?

Preview first, then import, even with the old plugin deactivated. Repeat rules from The Events Calendar, Events Manager 7 and Sugar Calendar come across, and you can export your events to CSV at any time.

We’re featured in

Can parents book a meeting with a specific teacher?

Yes. Create a booking type for parent meetings and add each teacher as a host with their own weekly hours and a buffer between meetings. Parents choose the teacher, or “Anyone available”, then a free time. Each teacher sees only their own bookings.

Can families add school dates to their own calendar?

Yes. Every event has Add to Calendar links for Google and Outlook and an .ics file for Apple Calendar. A public iCal feed lists the next 12 months, and each sign-up confirmation carries a calendar file.

Can we limit the places for an open day or a trip?

Yes, in the free plugin. Set a capacity on the event: the sign-up form shows the seats left, then “Sold out”. On a repeating event, such as a weekly club, each date has its own limit and its own list.

Do teachers need admin access to the website?

No. Editors manage events and attendees without admin rights. A teacher who only hosts meetings needs a WordPress account with the HappenBoard host permission, and sees only their own schedule.

Which HappenBoard plan does a school need?

Most schools start with HappenBoard Free: the calendar, sign-ups, reminders and parent meeting bookings are included. Choose Pro to sell tickets for a show, ask extra registration questions or sync with Google or Outlook. See the prices.
